Creating a High-Performing Board
Your board of directors plays a critical role at your organization, from providing oversight on your financial performance to guiding your hospital operations. Their time is valuable. That’s why Southern Regional Medical Center (SRMC) in Riverdale, GA wanted to ensure its 21-member board runs as smoothly as possible.
Knowing the Web can easily improve communications, SRMC turned to Geonetric to build an extranet for their board of directors. They knew board members would benefit from the added security and easier access to information, but what surprised them was how much time the extranet saved the executive support team – and how much money it saved SRMC.
Taking it Online and Making it Secure
It was important to SRMC that its extranet allow the executive support team to add board materials that members can easily and securely download. For decades, SRMC’s board of directors received hard copy board materials via a courier. If the support team made a change after the packets were sent, they had to create and distribute new packets. Not only was it a time-consuming process, but relying on couriers carried an inherent risk – what if they delivered to the wrong building or person?
With this in mind, we created SRMC’s extranet that:
- Allows the executive support team to upload documents;
- Gives board members an easy way to find educational materials, schedules, meeting agendas, minutes and more; and
- Securely stores sensitive information behind a unique username and password login. So once a user logs in, they are able to access information only for their corresponding committees.
Going Green and Saving Some Green
SRMC’s increasingly tech-savvy board of directors loves the convenience the extranet offers. No more waiting in the office for the courier – now they can access their important documents anywhere, anytime.
SRMC’s executive support team is also thrilled with the results. The five-member team estimates they spent an average of five hours per administrator, per meeting, creating the packets; $200 per month in courier fees and another $200 per month in printing and binding costs. With the extranet, they’re saving more than $3,700 a month – the extranet more than covers its own cost. And, as an added bonus, the extranet is a powerful example of SRMC’s commitment to sustaining the environment through the use of technology.
